Keokuk Community School District is fortunate to receive financial support for many activities and initiatives.

PURPOSE | The purpose is to assist in bringing innovative digital learning resources to your classroom that can be supported by the Technology Department.

MISSION | Technology in education is a teaching and learning tool, that when used effectively, will support and help transform how we interact, produce and seek personal growth and enjoyment.

VISION | We believe that technology can no longer be a supplement in classrooms but must be an integrated part of both instruction and management.

GOALS | Utilize data and integrate technology to strengthen curriculum, instruction, and assessment Provide effective technology integration training, professional development, and support for all staff Provide state-of-art hardware and software to facilitate implementation of applications for instruction, learning, and management Continue to monitor and upgrade network bandwidth and infrastructure for all school networks Provide adequate funding for state-of-art hardware, software, and infrastructure replacement. 

GENERAL USE & OWNERSHIP | The KCSD provides access to its computer networks and the Internet and use of equipment for educational purposes only. The user’s use of computer equipment, computer networks and Internet is a privilege, not a right. The KCSD reserves the right to monitor, inspect, copy, review and store at any time and without prior notice any and all usage of the computer network and Internet access and any and all information transmitted or received in connection with such usage. All such information and files shall be and remain the property of the KCSD and no user shall have any expectation of privacy regarding such materials. For security and network maintenance purposes, authorized individuals within KCSD may examine and monitor equipment, systems and network traffic at any time. All users and their parents/guardians are advised that access to the electronic network may include the potential for access to materials inappropriate for school-aged pupils. Every user must take responsibility for his or her use of the computer network and Internet and stay away from these sites.

Items must be reviewed and approved by the Teaching & Learning and Technology Departments. Items acquired for students without first going through this process will not be approved. Contact the Chief Technology Officer to begin the approval process.

BUDGETING | All technology purchases will be made via the Technology Department budget (with the exception of Grant and CTE programs). Devices are approved and standardized across the district. All teachers and Administrators are issued Chromebooks. All classrooms are equipped with document cameras and LCD projectors. Student workstations are standardized. Additional questions regarding technology purchasing should be directed to the CTO.

SUBSCRIPTIONS | Online subscriptions must be reviewed and approved by the Principal, Teaching & Learning, and Technology Departments. Custom plugins, plugin and/or browser versions, custom browsers required for operation will not be provided. Online subscriptions must be Chrome browser compliant without modification.
 
LICENSING | Any licenses provided are to be associated with the school or district. A single year license for software or subscriptions should come with no expectation of financial support to continue such a license in future years.

INVENTORY | All software and devices must be provided, upon receipt, to the Technology Department for inventory management and device configuration. Even if the device is a non-supported device, you will need to provide the device to the Technology Department for inventory purposes. A device will not be configured or added to the network until it is inventoried and barcoded.

The Technology Department may need to keep the device(s) in order to configure them to work on the network. This may take multiple days depending on the number and complexity of the configuration. Please allow ample time.

DONATIONS & GRANTS
OWNERSHIP | According to Board Policy, grants received by teachers are considered gifts to the district. As such, any digital resources immediately become the property of Keokuk Community School District. It is understood that grant purchases remain with the requesting building or department so long as they remain employed by Keokuk Community School District. When funds are solicited for a building, the equipment shall remain at that site until retirement. When a grant recipient leaves employment, the items purchased with the grant remain the property of the school district. The Technology Department will make a best effort to provide access and configuration flexibility within the context of the award. There may be instances, despite best intentions and efforts, that acquired technology cannot be supported for use or continued use in classrooms.

USE SINGLE SIGN-ON (SSO) | Allows students and teachers to use a single set of credentials to sign into all of their learning applications.

Contact the CTO/IT Director (Brent Haage) to explore what options exist and are supported by the Technology Services Team.

Instructional Support includes specific training and curriculum technology integration assistance. The District has an “early adopter” model meaning that every building has teachers who have “gone first” and should be able to provide basic assistance with Technology integration. The District employs a train the trainer models where early adopters help coach up their team as new technology is integrated into grade or content levels. The District employs an “Instructional Coaching” model including the new Teacher Leadership Compensation (TLC) positions. These individuals are engaged in the learning side by side with teachers so that they can be available to help with technology integration into teaching and learning. The District offers professional development opportunities to teachers and support staff related to Chromebooks, Google Apps Education Edition, and technology integration at the request of collaborative teams and/or through after hours classes. These opportunities are offered during “early bird” as well as throughout the school year. Staff are encouraged to participate in these opportunities.

The Technology Services Team does not provide support for proctoring online tests. For guidance on proctoring, see your school administrator, Instructional Coach, or the Director of Instructional Services (Stephanie Vititoe).

ROSTERING | Rostering is the fastest, most effective way to automatically create accounts and classes with data from our PowerSchool student information system (SIS) to other learning information systems. We support several different methods to meet the needs of the district. These processes generally run at night through the school year. And are paused during the summer while we finish state reporting and end of year rollover in PowerSchool.

Where do I get my ConnectEd Master Codes?

If rostering is performed automatically for you by the data services team, you do not need master codes. We use an automated system from McGraw-Hill that automatically assigns Master Codes to students and staff as needed.

Edgenuity | COURSE & ENROLLMENT MANAGEMENT
– Complete enrollments that earned credit and disable enrollments that are unfinished or assigned in error.
– Adjust target dates for active enrollments.
– Update courses with new versions available and remove customized courses that are no longer needed.

McGraw-Hill – ConnectEd, Reading Wonders | CLASS MANAGEMENT
ConnectED does not delete classes or remove students from classes. To close this year and prepare for the next school year, there are a few options for existing classes:

  • Delete Classes Manually (recommended option) – We recommend that teachers delete all classes at the end of the school year after all assignment data has been captured, including Assessment scores. All assignment data and customized Lesson Plans will be lost once the class is deleted. For instructions on deleting a class, please see this help article: ConnectED – Delete a Class
    • Customized Lesson Plans should be printed or saved as a PDF prior to deleting the class.
    • Teachers who use Reading Wonders and want to copy their lesson plans to a new class should wait until new classes are created before they delete their 2019-2020 Wonders classes.
    • Any 2019-2020 classes which use Simplified Login must be deleted at the end of the school year. For instructions on how to remove Simplified Login from a class, please see this help article: Remove a Class from the Simplified Login Page
  • Preserve Classes (alternate option) – Another option is to continue to use the existing classes you have set up for the current year but remove all students from the class when the school year is over. This option allows you to retain any customization (i.e. Lesson Plans) within the class. Next year, once your new students have been rostered, you can then add them to the same class. For instructions on removing students from a class, please see this help article: ConnectED – Remove Students from a Class
  • Rename Classes (minimum) – With this option, teachers will continue to see previous classes, but can easily differentiate between current and previous classes. Appending the name of your class with the current school year is what we recommend. For example, “AP US History” can be renamed to “AP US History 2019-2020.” Instructions for modifying an existing class can be found on pages 4-5 of this PDF guide: Class Management

Licenses will be released from your current students on the end date you set when you initially redeemed the student edition. The default redemption code end date is July 31st following the year the license was redeemed.

POWERSCHOOL SUPPORT | Internal assistance for office and support staff can be scheduled with Brent Haage. Internal assistance for teachers can be scheduled with an Instructional Coach.

PowerSchool Nightly Process

This process begins at midnight. As part of this process, it transfers out students and enrolls students for the day.

MANAGED COPY & PRINTING | Savin (Ricoh) via The Business Centre of Quincy (TBCQ) provides complete print / copy support, repair, and supplies. Buildings will request support and replacement supplies (toner and staples) from TBCQ as part of their contract with the district.
Buildings will request paper from the Print Shop (Cim Stice). Support and repair will be provided via number posted near each unit.

Follow Me printing allows staff to print on any multi-function in the district by entering their assigned badge number. The copy machines also support use of an RFID Card for authentication.
The Technology Services Team’s role with Managed Copy & Print is to maintain the network connection, the PaperCut print server, and default print clients on each workstation. All other print / copy support will be provided by TBCQ as part of their contract with the district.
Periodic reports will be produced for buildings to monitor usage and cost. Print Shop copy/print jobs are billed at $0.0035 per page for B&W. School multi-function copy/print jobs are billed at $0.004 per page for B&W and $0.04 per page for color. The cost per click includes supplies and support (not paper).

WIRELESS NETWORK (WiFI) | The District’s enterprise network is rigorously engineered and is designed with hardware that delivers higher performance than equipment designed for home networks. The WiFi network isolates devices to prevent a large number of devices being visible to faculty, staff and students. This means that some devices need to be set up and others may not work on our network at all. The District has invested in enterprise quality wireless at all locations. Wireless coverage should be excellent for all instructional spaces. If that is not the case, you must report the “dead spots” via the Web Help Desk. All devices or users must install the required SSL certificates. Instructions can be found on our website.

DISTRICT DEVICES | Managed district devices will automatically install the appropriate SSL certificates and connect to the appropriate wireless network.

  • District-owned staff computers and mobile devices should use the KCSDstaff wireless network.
  • District-owned student computers and mobile devices should use the KCSDstudents wireless network.
    District-owned student Chromebooks should use the KCSDchrome wireless network.

STAFF PERSONAL DEVICES | Personal computers and mobile devices should use the KCSDstaff wireless network.
GUEST ACCESS | Outside contractors & guests will need to contact the Technology Services Team in advance to get instructions on how to properly connect to our Wireless network.
PUBLIC ACCESS | The wireless network is: KCSDguest – No password is required. Users must install SSL certificate and accept terms from the captive portal. Instructions for installing the SSL certificate can be found on our website.

CONTENT FILTERING | iBoss provides content filtering for our district. According to board policy 605.6, the KCSD will utilize filtering software or other technologies to prevent employees and students from accessing visual depictions that are (1) obscene, (2) child pornography, or (3) harmful to minors. Subject to staff supervision, technology protection measures may be disabled or, in the case of minors, minimized only for bona fide research or other lawful purposes. Any attempts to disable, defeat, or circumvent any filtering facility is prohibited. The school will also monitor the online activities of employees and students, through direct observation and/or technological means, to ensure that employees and students are not accessing, generating or sharing such depictions or any other material which is inappropriate.

Chromebook Tips and Tricks: 
How do I rotate my Chromebook’s browser screen?

To rotate your screen the keyboard shortcut is Shift + Ctrl + Rotate. Each tap of this shortcut rotates the screen orientation 90°. Make sure you are logged in before using the command.

The Vision for Teaching and Learning | The 1:1 initiative gives students the tools to have instant access to the world of information and also to become producers rather than just consumers of information that is available through the use of technology. The Keokuk Community School District (“KCSD”) is taking an aggressive initiative to transform teaching and learning within KCSD. The 1:1 initiative allows several things to occur for the benefit of student learning, some of these include the following:
  • Promoting student engagement and enthusiasm for learning.
  • Encouraging collaboration among students, teachers, parents/or legal guardians, community members, and people throughout the nation and world through interactive capabilities and opportunities.
  • Reducing the use of worksheets and workbooks.
  • Guiding students in their learning and production of knowledge.
  • Allowing students access to information, along with an opportunity to connect it to their learning in a meaningful manner.

CHROMEBOOKS | The number of devices will match the number of students enrolled on a daily basis. Please do not move Chromebooks from one classroom to another or from building to building unless directed by the technology team.

CHARGING | The majority of buildings have specially designed charging cabinets or carts in classrooms. These storage units have extra power and louvered doors for ventilation. These cabinets must be used for storage and charging. No exceptions.

DEVICE LIFECYCLE | Technology has a shelf-life and just because the technology is in working order doesn’t mean that it can remain deployed. Availability of parts, other components of the evolving technology environment in which it operates (network, other devices in schools, etc.) may mean that technology received as a part of your grant can no longer be supported and remain in service. Repair and replacement of lost or damaged components is not assumed to be the Technology Department.

General Guidelines:
Years 1 – 2: Supported
Technology Department will make their best effort to ensure that your approved technology acquired through a grant can stay in service.  (Availability and cost of components may make repair impossible.)
Years 3 – 5: Legacy
Technology Department will attempt to continue support to the extent possible, but changing environments may mean that technology will have to be phased out.
Years 6+: End of Life
No technology will be supported after it’s 5th year of operation.  It may remain in service so long as viable.

Technology Department will make their best efforts throughout the technology lifecycle to ensure that your approved devices acquired through a grant can remain in service through the end of that fifth year. We do, however, reserve the right to pull technology at any time that it becomes disruptive to normal operation of other equipment that must work alongside it within your school or classroom.

UNSUPPORTED HARDWARE | The Technology Department is unable to support technology that is not pre-approved by Teaching & Learning and Technology Departments.

DISPOSAL | The Information Technology Director must approve all purchases, moves, trades and disposals of technology. We use electronic recycling vendors to dispose of obsolete equipment. We also destroy hard drives, beyond repair, before they are recycled.

MOVING DEVICES | Many devices are assigned to a specific location. Request to move must be approved and the IT Team members will move devices in order that inventory and device configuration is updated properly.

SOFTWARE LIFECYCLE | Best practice is to look for apps that are compatible on the District’s supported platforms first. In many cases, upgraded versions require additional payment to remain on the latest version. You should understand that your acquisition of software is for the current version being provided at the time it is purchased. The district will not get involved in renewal funding for grant-based software and it is up to you to discuss options with your school’s Principal or your Department Head to determine if budget is available to support software past the initial year of implementation. There are often free software / app options that have similar function that can be recommended by the Technology or Instructional Departments.

Here are some things to keep in mind with regard to software:

  • Devices have a lifecycle, software is year-to-year. No guarantees will be made for support past when the initial approval is provided.
    Technology Department will not adjust Operating System upgrade scheduling or allow you to run an old version of the Operating System to ensure compatibility with software.
    Technicians may remove software from your computer during service imaging, and it is your responsibility to maintain the license key, or purchase code used to reinstall and/or reactivate it. (Chromebooks are not affected by imaging. Apps are tied to your G-Suite account)
    Technicians may restrict apps if they determine that it is interfering with the normal operation of your computer or the network.

NOTE | Apps will not be arbitrarily removed without your knowledge. Technicians will discuss the issues with you.

UNSUPPORTED SOFTWARE | The Technology Department is unable to support technology that is not pre-approved by Teaching & Learning and Technology Departments.

PERSONAL SOFTWARE | Not supported by the Technology Team.

GOOGLE G SUITE FOR EDUCATION | Users must to use their school account for educational purposes only.

Gmail: We use Gmail as the district’s electronic mail system. All employees will have a school Google account. Paycheck stubs are send to employees’ school email accounts.

Drive & Team Drive: Primary file storage for users and teams. It is backed up nightly by SysCloud.

GROUPS | District managed groups:

  • KCSD News – Posting informational items.
  • KCSD Bulletin Board – Posting of personal items.
  • District level, District.[______]@keokukschools.org – are managed by the Technology Services Team for various staff needs.
  • Student Grade Level, [Building Intitials]-[Grade Level]@keokukschools.org – Students in grade level.
Incident Response (Cybersecurity): Any incident that disrupts the use of the network and/or network resources. For example, virus/worm activity, security breach, inappropriate technology/computer usage, and harassing messages. All network incidents found by or reported to Technology Services will be investigated. Report problems to the Information Technology Director.

SAFETY & SECURITY

In using the computer network and Internet, do not reveal personal information such as your name, home address, home telephone number, credit card number, social security number or school id number, or those of any other person.

PASSWORDS | Keep passwords secure and do not share accounts. Authorized users are responsible for the security of their passwords and accounts. Any attempts to disable, defeat, or circumvent any security facility is prohibited.

CYBER AWARD TO SECURITY THREATS | Out of Date Systems: Attackers have a list of exploits that automatically run against out of date systems. It really is point and click to get into a vulnerable system these days.
  • Logging into a Computer as an Administrator. As a safety measure you should only use an administrator account when absolutely necessary (installing new software or making changes to the system that require administrative privileges).
  • Installing Unknown Software. Treat installing software on your computer like giving the source of the software every piece of information that goes through your computer (your online banking, shopping, and email). If the wrong piece of software is installed you are giving access to all this information and more to the world at large
  • Oversharing on the Internet. One of the first steps in determining how to attack computer systems is to conduct recon on your target. This is made much easier with the increase in utilization of social media like Facebook. Make sure that anything you post isn’t compromising your password, password hints, or organizational information. Once an attacker gains this information they can draw inferences about what type of information may be in your password or use that same information against you when they are trying to social engineer or spear phish you.
  • Lack of Technical Controls: Not having anti-virus, system firewalls, and network firewalls in place, turned on, and configured to block things that you don’t need is a big no-no.
  • Passwords: User account activities are monitored and recorded. All passwords are to be kept private and not shared with anyone except the Technology Services Team. Users are responsible for actions taken with their user account. Workstations and Devices

COPYRIGHT | According to board policy 605.6, unauthorized copying of copyrighted material including, but not limited to, digitization and distribution of photographs or written text from magazines, books or other copyrighted sources, copyrighted music, and the installation of any copyrighted software for which KCSD or the end user does not have an active license is strictly prohibited. “Fair use” allows an individual to reproduce copyrighted work for purposes such as teaching or research. Reproduction beyond fair use needs the permission of the copyright holder. You must have permission to duplicate and distribute any portion of copyright material. There are individuals that monitor the use of copyrighted materials intently and are actively in pursuit of violators.
 
STUDENT DATA | Personally identifiable information (including Internet and access records) concerning students will be disclosed consistent with the Student Records Access board policy (505.1). Personally identifiable information will be disclosed consistent with the Employee Records board policy. Posting of student information or photo on district websites or social media sites. Check for parent permission in PowerSchool before posting.
 
DIRECTORY INFO | Directory information is defined in the annual notice. It may include the student’s name, address, telephone number, date and place of birth, email address, grade level, enrollment status, major field of study, participation in officially recognized activities and sports, weight and height of members of athletic teams, dates of attendance, degrees and awards received, the most recent previous educational agency or institution attended by the student, student ID number that is displayed on a student identification card (provided it cannot be solely used to access the student’s educational records), user ID or other unique personal identifier that is displayed on a student identification card (provided it cannot be solely used to access the student’s educational records), photograph and other likeness, and other similar information.

Have you tried rebooting it? A reboot wipes away the current state of the software. Any code that’s stuck in a misbehaving state will be swept away, too. When you reboot, the computer or device will bring the system up from scratch, restarting all the software from square one so it will work just as well as it was working before.
